Creating Your Account

Navigate to the registration page and fill in your HOA details including name, address, and contact information. Create your account credentials and you're ready to start.

How to Add a Property

Managing Homeowners

Homeowner records can be linked to multiple properties. Each homeowner profile includes:

  • All associated properties

Property Transfers

When a property changes ownership:

  1. Navigate to the property details
  2. Click Transfer Property
  3. Enter the new homeowner information
  4. Set the transfer date
  5. System automatically handles billing transition
Important: Property transfers automatically update billing records to ensure the new owner is charged from the transfer date forward.

Monthly Dues Setup

Configure your monthly dues structure in HOA Settings:

  1. Go to Settings → HOA Settings
  2. Set your monthly dues amount (e.g., ₱150/month)
  3. Choose the billing date (e.g., 1st of every month)
  4. Set the due date (e.g., 15th of every month)
  5. Configure grace period (days before penalty applies)
  6. Set penalty start date (when penalties begin applying)
  7. Set penalty rate (percentage or fixed amount)

Custom Monthly Dues per Property

Override default monthly dues for specific properties:

  • Navigate to the property details
  • Set "Custom Monthly Due" field
  • System will use custom amount instead of default for this property
  • Useful for corner lots, larger properties, or special assessments
Automation: Once configured, the system automatically generates invoices on the billing date for all active properties.

Creating Manual Invoices

For one-time charges or special assessments:

Setting Up Water Meters

Go to Water Metering and click Add Meter

Important: Always set the initial reading when adding a new meter. This ensures accurate consumption calculations from the first billing period.

Recording Monthly Readings

  1. Navigate to Water Readings tab

  6. System automatically calculates consumption and billing amount

Tiered Rate Configuration

Generating Water Bills

After recording all monthly readings:

  1. Click Generate Invoices
  2. Select billing period

Tip: For best transcription results, use clear audio with minimal background noise. Place recording device near speakers for optimal quality.
Automatic Recovery: If a transcription fails, the system automatically retries every hour. Recordings stuck in processing for over 24 hours are automatically recovered.

How Billing Works

Payment Methods

You can pay via:

  • Bank Transfer: Deposit to HOAS bank account (details on invoice)
  • Online Payment: GCash, PayMaya, or other digital wallets
  • Check: Company checks accepted for enterprise clients

Submitting Payment Proof

  1. Go to Settings → Subscription
  2. View your current unpaid invoice
  3. Click Upload Payment Proof
  4. Upload clear photo of bank receipt or transaction screenshot
  5. Add reference number and payment date
  6. Submit for verification
  7. Receive confirmation email once approved

Billing Cycle

Understanding your subscription billing:

  • Invoices generated on the 1st of each month
  • Payment due within 7 days (by the 8th)
  • Billing period: Full calendar month
  • Property count based on active properties in system
  • Prorated charges for mid-month property additions

Continuous Access Policy

Viewing Subscription Details

In the Subscription module, you can see:

  • Current subscription status (trial, active, etc.)
  • Trial end date and days remaining
  • Current plan and property count
  • Monthly billing amount
  • All subscription invoices (paid and unpaid)
  • Payment proof submission history
  • Next billing date
