Fixed Assets & Preventive Maintenance for Philippine HOAs

Register your elevators, pumps, HVAC, generators and CCTV with cost and useful life, post straight-line depreciation to the books every month, and let maintenance plans create work orders automatically by calendar or running hours.

How It Works

5 Steps From Asset List to Protected Facilities

From the first asset to automatic work orders and month-end depreciation — built for property managers and treasurers, not accountants.

1

Activate the Module

One toggle in HOAS Services > Modules. Accounts and categories are prepared for you.

2

Register Assets

Add assets one by one with a 3-step wizard or import them from CSV.

3

Set Maintenance Plans

Interval, meter threshold or both, with checklist, lead days and assignee.

4

Complete Work Orders

Orders appear automatically. Tick the checklist, enter costs, link the expense.

5

Post Depreciation

Review the monthly preview and post, or let HOAS do it on the 1st.

Features

Everything You Need to Log, Depreciate and Maintain Shared Facilities

Built for subdivisions and condominium corporations that manage significant building equipment.

Asset Register

Elevators, pumps, HVAC, generators, CCTV, vehicles. Each asset carries cost, acquisition date, useful life, salvage value, location, serial number, supplier, warranty and an optional running-hours or km meter.

Straight-Line Depreciation

Preview the month per asset, then post one journal entry: Dr Depreciation Expense / Cr Accumulated Depreciation per category. Months post in order and the last month is capped at salvage value.

Auto-Post on the 1st

Switch on automatic posting and HOAS books last month's depreciation every 1st of the month. Closed fiscal periods are respected, and you can unpost the latest month if needed.

Capitalized Purchases

Record a purchase in Disbursements with a Capital Expenditure category and it debits the 14xx asset account instead of expense. Assets owned before HOAS get a clean opening-balance entry.

Preventive Maintenance Plans

Per asset: every N days, weeks, months or years, every N running hours or kilometres, or whichever comes first. Add a checklist, lead days, priority, assignee or contractor and an estimated cost.

Automatic Work Orders

Every morning HOAS creates work orders for plans that are due, a configurable number of days ahead. Corrective and inspection orders can be added by hand. Only one open order per plan at a time.

Checklists, Costs & Contractors

Complete a work order with its checklist, labor and parts cost, meter reading and notes. Link the Disbursement that paid for it, or click Record Expense to create it pre-filled. Print the work order for the technician.

Disposal With Gain or Loss

Sold, scrapped, donated or lost: HOAS removes the asset and its accumulated depreciation, records proceeds to the bank account you choose and books the gain or loss. History stays in the register.

Calendar, CSV & Setup Guide

Work orders and upcoming plan due dates appear on the HOA Calendar. Import assets from CSV, export the register, and follow the built-in 5-step setup guide.

Depreciation That Lands in Your Financial Statements

No side spreadsheet. Each month HOAS computes straight-line depreciation per asset, shows you the preview, and posts a single adjusting entry per category. The Balance Sheet shows Property & Equipment net of Accumulated Depreciation, and Depreciation Expense flows into the Profit & Loss.

  • Per-asset preview before anything is posted
  • One journal entry per month, grouped per category
  • Final month capped at salvage value, no over-depreciation
  • Unpost the latest month; closed periods are protected

Maintenance That Schedules Itself

Quarterly elevator service, pump inspection every 500 running hours, yearly genset load test. Set the plan once; HOAS creates the work order ahead of time, assigns it to your staff or contractor, and moves the next due date forward when it is completed.

  • Calendar interval, meter threshold, or whichever comes first
  • Work orders created lead-days ahead, every morning
  • Checklist, costs, meter reading and linked expense on completion
  • Overdue and due-soon counts, calendar view, printable orders

Frequently Asked Questions

Common questions about fixed assets and preventive maintenance in HOAS.

Each asset is registered with its cost, acquisition date, useful life, salvage value, location, serial number and supplier. HOAS computes straight-line depreciation per month and posts one journal entry per month (Dr Depreciation Expense / Cr Accumulated Depreciation, grouped per category). You can post it manually after reviewing a per-asset preview, or let HOAS post it automatically on the 1st.
Yes. Create a maintenance plan per asset with a calendar interval (every N days, weeks, months or years), a meter threshold (every N running hours or kilometres), or both. Every morning HOAS creates a work order when a plan comes due, a configurable number of days ahead, so it can be scheduled and assigned to staff or a contractor.
Record the purchase in Disbursements using a Capital Expenditure category. Those categories are linked to the 14xx asset accounts, so the expense entry debits the asset account instead of an expense account. Assets the HOA owned before HOAS get an opening-balance entry (Dr asset / Cr Accumulated Depreciation / Cr Opening Balance Equity).
Accumulated Depreciation is a contra-asset account, so the Balance Sheet shows Property & Equipment net of it. Depreciation Expense appears on the Profit & Loss. The Asset Register shows cost, accumulated depreciation and net book value per asset.
Use Dispose on the asset. HOAS removes the asset and its accumulated depreciation from the books, records the proceeds to the bank account you choose, and books the gain or loss on disposal. The asset stays in the register as Disposed for history.
Yes. Like every HOAS module it is included on all plans and during the 14-day free trial. Turn it on from HOAS Services > Modules and a setup guide walks you through categories, assets, maintenance plans, work orders and depreciation.
