HRIS & Payroll for Philippine HOAs and Condominiums

Keep your guards, maintenance crew and office staff on one system: 201 files, schedules, attendance and leave, then payroll with SSS, PhilHealth, Pag-IBIG, withholding tax and 13th month — posted to your books with one click.

How It Works

5 Steps From Employee List to Posted Payroll

Built for treasurers and property managers who run payroll for a small team — not for payroll specialists.

1

Activate the Module

One toggle in HOAS Services > Modules. Pay periods, holidays, leave types, schedules and GL accounts are prepared for you.

2

Add Employees

4-step form or CSV import: employment type, pay basis and rate, SSS / PhilHealth / Pag-IBIG / TIN, payout details.

3

Log Attendance

Daily sheet, one-by-one entry or a CSV from your biometric device. File and approve leave and overtime.

4

Compute Timesheets

Days worked, absences, late, undertime, overtime, holiday work and night differential per employee. Print the DTR.

5

Run Payroll

Compute, review payslips, approve, post the journal entry and pay from your bank account. Remit to each agency.

Features

Everything From the 201 File to the Payslip

Philippine labor and tax rules built in, with every setting adjustable by your HOA.

Employee 201 File

Personal details, employment type (regular, probationary, contractual, project-based, officer honorarium, contractor), department and position, salary history with effective dates, government IDs, payout method, documents and custom fields. Link a staff login or a gate guard.

Schedules & Attendance

Fixed, flexible or shifting schedules with rest days and shifts past midnight. Enter time logs one by one, fill a daily sheet for everyone, or import the CSV from your biometric device.

Computed Timesheets & DTR

Per pay period: days worked, absences, paid and unpaid leave, late and undertime after a grace period, approved overtime, rest-day and holiday work, night differential and unworked regular holidays. Adjust a day by hand, approve, print the DTR.

Leave & Holidays

Service Incentive, Maternity, Paternity, Solo Parent, Special Leave for Women and VAWC seeded; add vacation, sick and emergency leave with accrual, carry-over and tenure rules. National holidays per year plus your local ones.

Philippine Payroll Engine

Monthly, daily or hourly pay with a 313-day (or 365 / 261) factor, overtime at 125%, rest day and special day at 130%, regular holiday at 200%, night differential at 10%. SSS, PhilHealth, Pag-IBIG and TRAIN withholding tax from dated parameter tables; minimum-wage earners exempt.

Allowances, Loans & Adjustments

Recurring allowances (taxable or de minimis) and fixed deductions per employee, SSS / Pag-IBIG / company loans amortized per payslip with running balances, and one-time bonuses or corrections per run.

Posted to the Books

One balanced journal entry per run: salaries, allowances, 13th month and employer shares to expense; withholding tax, SSS, PhilHealth, Pag-IBIG and Salaries Payable to liabilities. Paying debits Salaries Payable and credits your bank — visible in the Cash Disbursements Book and bank reconciliation.

13th Month, Payslips & Reports

13th-month run from the basic pay actually earned in the year (tax-free to ₱90,000), printable payslips with employer shares, payroll register and bank file CSV, monthly contribution report per employee, and remittance tracking per agency.

Controls & Permissions

Separate HRIS and Payroll permissions per role, multi-level approval workflows for leave, overtime and payroll runs, locked payslips once approved, fiscal-period protection, and every step reversible in order while the month is open.

Payroll Your Accountant Will Recognize

No separate payroll spreadsheet to reconcile at year end. The run that pays your staff is the same run that writes the journal entry, moves the bank balance and tracks what is still owed to SSS, PhilHealth, Pag-IBIG and the BIR.

  • Expense in the right month, payables cleared by recorded remittances
  • GL account mapping you can change in Payroll Settings
  • Unpay, unpost and reopen in order; closed periods are protected
  • Contribution report with MSC, employee and employer shares per person

FAQ

Frequently Asked Questions

Common questions about HR and payroll in HOAS.

Yes. Contributions follow the current schedules: SSS at 15% of the monthly salary credit (₱5,000–₱35,000, with the provident fund portion above ₱20,000 and the employer's EC), PhilHealth at 5% between ₱10,000 and ₱100,000 shared equally, and Pag-IBIG at 1–2% employee and 2% employer on compensation up to ₱10,000. Withholding tax uses the TRAIN table annualized per pay period, and minimum-wage earners are exempt. The parameters are kept in dated tables, so a new schedule applies from its effective date.
Posting a payroll run creates one balanced journal entry: salaries and wages, allowances, 13th month and employer contributions are debited to expense; withholding tax, SSS, PhilHealth and Pag-IBIG payables, loan accounts and Salaries Payable are credited. Paying the run debits Salaries Payable and credits the bank account, and the withdrawal appears in Transactions, Bank Reconciliation and the Cash Disbursements Book. Remittances to each agency clear the payables.
Yes. Work schedules support fixed, flexible and shifting hours, rest days per weekday and shifts that end past midnight. Timesheets compute late and undertime after a grace period, approved overtime, rest-day and holiday work, and night differential between 22:00 and 06:00. Employees can be monthly, daily or hourly paid, with the daily rate derived from the monthly factor you choose (313 by default).
The statutory types are seeded when you enable the module: Service Incentive Leave (5 days after one year), Maternity (105), Paternity (7), Solo Parent (7), Special Leave for Women (60) and VAWC (10). Add your own vacation, sick or emergency leave with upfront or monthly accrual, carry-over limits and tenure rules. Filing counts only working days, blocks overlaps, deducts from the balance on approval and flows into the timesheet as paid or unpaid leave.
Yes. A 13th Month run computes one-twelfth of the basic pay each employee earned in the calendar year from the approved and posted runs, tax-free up to ₱90,000, with its own payslips and journal entry. Special runs cover bonuses and corrections, and final-pay runs cover separated employees.
Yes. Like every HOAS module it is included on all plans and during the 14-day free trial. Turn it on from HOAS Services > Modules; a setup guide walks you through pay periods, departments, employees, schedules, holidays, timesheets and the first payroll run.
